What Happens After You Book With Me

You did it. The vacation is booked, the dates are real, and there’s a countdown on your fridge. If your brain is already spinning with a hundred questions about what comes next, take a breath, this is the part where I step in.

Here’s exactly what happens between booking day and travel day, what I’ll handle for you, and the few things you’ll need to take care of. Spoiler: your list is short.

First: Deposits and Final Payment

Paying for your vacation happens in two main steps: a deposit now, and the balance later.

For Disney resort packages (Walt Disney World, Disneyland, and Aulani): A modest deposit, usually a couple hundred dollars per reservation, holds everything. Your remaining balance is typically due about 30 days before you travel. You can make extra payments along the way whenever you want, and I’ll process them for you.

For cruises: Deposit structures vary by cruise line and sailing length. Disney Cruise Line usually asks for a percentage of your fare upfront (paid within a few days of booking), with final payment generally due around 90 days before shorter sailings and up to about 120 days before longer ones. Royal Caribbean works similarly, with per-person deposits and final payment typically due around 90 days before you sail (some sailings ask for it a bit sooner). I confirm your exact amounts and dates at booking, and I’ll remind you before every deadline, so nothing sneaks up on you.

What I Handle From Here

This is my favorite part. Once you’re booked, here’s what’s off your plate:

  • All payments and reservation management. I process your deposit, run payments toward your balance, and keep everything organized and linked correctly.
  • Dining and activity booking at the right windows. Popular restaurants and experiences open up on specific timelines, and the good ones go fast. I track those windows for your trip and send you reminders so we can grab your top picks.
  • Cruise check-in and excursion planning. Your cruise line will have its own booking windows for shore excursions, onboard activities, and specialty dining, and they often depend on things like past-sailing status. I let you know exactly when your window opens and help you plan what to book.
  • Lightning Lane strategy. At Walt Disney World, guests staying at Disney resorts can start booking Lightning Lane selections up to 7 days before their trip (it’s a shorter window for other guests), while at Disneyland, selections are made day-of. I’ll walk you through which option fits your family and when to book so you’re not guessing.
  • Your final travel documents. Before you leave, you’ll get a complete packet: confirmations, check-in details, park or port logistics, and anything else you need at your fingertips.

What You’ll Need to Do

Your to-do list is intentionally short. Here are the main items:

  • Check your travel documents. This is the big one, especially for cruises. U.S. citizens on a closed-loop cruise (one that starts and ends at the same U.S. port) may be able to sail with a birth certificate and government photo ID instead of a passport — but rules differ by sailing, and other itineraries require a passport for every traveler. A valid passport is always the safest bet, especially if there’s any chance of an emergency flight home from a foreign port. Tell me about your documents early and I’ll confirm exactly what’s required for your sailing.
  • Consider travel insurance. For some families, travel insurance is peace of mind worth every penny. For others, it’s a skip. I’ll lay out your options so you can make the call that fits your family and your budget.
  • Complete your online check-in. Your cruise line or resort will ask for details like passport numbers, birth dates, and emergency contacts ahead of time. I’ll send you a reminder and a step-by-step so it takes minutes, not an evening.

When Planning Details Arrive

You won’t hear from me once and then get radio silence until travel day. Here’s how the communication flows:

  • Right after booking: Your confirmation and a clear summary of your trip, payments, and deadlines.
  • At every booking window: A heads-up when dining, activities, or Lightning Lane selections open for your dates, with my recommendations on what’s worth booking.
  • Before final payment: A reminder well ahead of your deadline, with your remaining balance.
  • In the weeks before you travel: Your final checklist and travel documents, so you can pack, print, and go.
